7 Steps to Organising an Entertaining Movie Fundraising Event Under the Stars
Movies under the stars are great for any group who are looking to fundraise for their cause. Whether it be for a charity, school or church, outdoor film nights make fundraising not only easy but fun for both the organiser and guest.
To ensure your next outdoor movie fundraising night is a success there are some important steps that you should follow.
1. How much money does your group need to consider the event a success? By knowing an estimated amount of funds you need to raise you are in a better position to decide on things like; the size of the event, the type of promotion that will be needed, do you need a sponsor, how much planning is needed, etc. Set your target at the beginning and plan your event around this goal.
2. Research possible sites for the event. Finding the ideal place to hold your fundraising event is the second most important task you can undertake. Ensure it is clean, easy to access, has parking, is safe and is pleasant to visit. After you have picked an area you must get written confirmation for the use of the area from the owners or managers.
3. Speak to an outdoor events company that specialise in community outdoor movie events. Though there are only a small number of companies that offer this service they are very professional and always try to work within your budget. They are also a great source of information on these types of events and are always willing to share this knowledge with groups needing some professional advice.
4. Decide which film you would like to show. To decide upon a film for the night you need to think who will be attending the event, e.g. kids, families, adults. Look at imdb online for some suggestions of films.
5. Contact the distributor and obtain approval to show the film. This is a critical step as it is a legal requirement to seek approval to play a film in a public setting. The Outdoor event company should be able to help with this need.
6. Market the event to as many people as possible. There are lots of ways to promote your event but usually the most simple are the most cost effective and cheap. The ideal media group to start with is the local newspaper and radio station especially if they are willing to provide some free promotion. This should be no problem if you are supporting a local charity. Other promotional options include; email, banners in public areas, posters in local shops and write on as many public blogs and websites as possible.
7. Corporate sponsorship is a great solution to cover all the expenses of the event and to make a profit even before the event has begun. Look to real estate agents, restaurants, credit unions and or any local business that are presently making good profit from the local community.
